Privacy & records
Personal information deserves clear boundaries.
This policy explains the intended handling of information provided to OPENUP INVESTMENT LIMITED through existing Cycle One contact intake and related record-management enquiries.
Scope and responsibility
These arrangements concern OPENUP INVESTMENT LIMITED, separately from Recabites. The public intake is for existing invited Cycle One participants; it is not a public investment application or an online payment service.
No login is required to submit contact information. That accessibility does not verify a submitter’s identity. Selecting a name is not identity verification, and a submission does not automatically become an official participation record.
Information covered
Information may include the name selected or supplied, the contact details requested by the intake, participation-related details requested for review and correspondence about a correction or privacy request. Management may need clarification to match a submission to the appropriate existing record.
Provide only what is requested and relevant. Do not place identity scans, financial credentials, bank information or another person’s sensitive details into free-text fields. If further information is needed, management should explain its purpose and the appropriate way to supply it.
Why information is handled
Information is used to review existing participant contact details, resolve record discrepancies, communicate about the existing cycle and maintain the records necessary to administer participation and respond to applicable legal requirements.
Management review is required before intake information is added to official records. Submission alone does not establish identity, ownership, a slot allocation, an amount paid or investment approval.
Retention and minimisation
The approved retention approach distinguishes temporary intake material from core participation records. Retention is subject to applicable legal requirements and legal holds.
Inactive drafts: 90 days
Inactive intake drafts are retained for 90 days before deletion under the inactive-draft retention rule, unless a legal hold or applicable legal requirement prevents deletion.
Scans: 90-day minimisation
Where scans are held, unnecessary scans and duplicate scan material are subject to minimisation within 90 days. Any continued retention must have a necessary record-keeping purpose or be required by law or a legal hold.
Core records: participation plus six years
Core participation records are retained throughout participation and for six years after it ends. Applicable legal requirements or legal holds may require longer retention.
A deletion request does not override an obligation to preserve a record. Where retention remains necessary, the request should be considered in relation to the record’s purpose and the applicable restriction.
Access and publication
Personal intake information is intended for management review and authorised record administration, not for a public participant directory. Where disclosure is necessary to administer participation or meet a legal obligation, it should be limited to what that purpose requires.
Purchase records intended for public release require approval and appropriate redaction. A milestone announcement is not permission to publish participants’ contact details, signatures, identity information or private correspondence. No purchase documents are currently available to publish.
Questions, access and corrections
For privacy enquiries or corrections to your personal information, write to openupinvestment@gmail.com. This is the privacy and corrections contact, not a general enquiries inbox.
Explain the record concerned and the action requested. You may request access, correction or deletion, or raise a concern about handling; the response depends on the applicable requirements and any need to retain the record. Proportionate checks may be required before information is disclosed or changed. Do not send unnecessary identity documents with your initial request.
Before submitting information
Use the existing intake only if it applies to your invited Cycle One participation. Read the requested fields carefully, keep free-text details relevant and ask management for clarification if you are uncertain. This policy does not claim independent certification of website security or that any submission channel is free of risk.
